Before placing an OEM or private-label order, buyers should ask for layer-by-layer material specifications, absorbency and leakage test methods, wash durability results, size tolerances, QC procedures, batch traceability, certifications, MOQ, production capacity, lead time, and claim handling. Ask for measurable figures rather than broad claims: fabric weight in GSM, fiber percentages, sample size such as n=5 or n=10, wash cycles, defect limits, and inspection levels. U.S. textile products also have specific fiber-content and care-label requirements, while chemical requirements vary by destination market. A supplier should be able to connect the approved sample, written specification, test report, and production batch.

A buyer should start by asking the manufacturer to provide a complete bill of materials. The request should identify the main fabric, lining, absorbent layers, leak-resistant layer, elastic, thread, labels, and packaging, with fiber content and fabric weight for each component. For example, “92% nylon / 8% elastane, 180 GSM” is more useful for purchasing than “soft premium fabric.”

Ask whether the same supplier and specification will be used for repeat orders. A change from 180 GSM to 165 GSM, or from one membrane construction to another, can affect stretch, hand feel, drying time, and leakage performance even when the outside appearance stays similar.

In the United States, textile apparel generally requires fiber-content disclosure and manufacturer or marketer information, and care instructions must be provided for covered garments. The FTC also requires the manufacturer or importer to have a reasonable basis for care instructions. For a buyer, asking for the planned label artwork before production can reduce later changes.

The next question should concern absorbency. Ask the supplier exactly how capacity is measured, what liquid is used, how much fluid is applied, how long the material is allowed to absorb it, and how the final result is recorded. A figure without a method cannot be compared reliably between suppliers.

For supplier qualification, buyers can request results from at least 5 finished garments per size or absorbency level rather than one demonstration piece. Record individual results, not only an average, because a product showing 45 mL, 48 mL, 47 mL, 39 mL, and 49 mL is different from one showing 45 mL on all 5 pieces.

Leakage needs a separate discussion. Ask whether the manufacturer checks the front, back, side edges, seams, and gusset area, and whether pressure or body-position conditions are included. Ask for the test setup and acceptance limit, not only “leakproof.”

“Please state the test method, sample count, fluid volume, conditioning method, pressure or load, test duration, and pass/fail requirement.”

That format gives the buyer a specification that can be repeated during pre-shipment inspection. It also makes supplier quotations easier to compare because each manufacturer is answering the same technical questions.

Wash durability should follow the same format. Ask how the garment is washed, dried, and inspected after repeated laundering. For a reusable product, a buyer can request a 20-cycle wash check on n=5 garments and record shrinkage, seam condition, elastic recovery, absorbency, leakage performance, membrane condition, and appearance after the final cycle.

Do not accept “machine washable” as the complete answer. The FTC states that care instructions must accurately describe regular care and that the manufacturer or importer needs reliable support for the stated care information. The approved washing method should therefore be linked to the actual construction of the product.

Fit should be documented with the same precision. Ask for a measurement chart covering waist, hip, rise, leg opening, front rise, back rise, and gusset length where applicable. Request measurement tolerances such as ±0.5 cm or ±1.0 cm instead of relying on “standard sizing.”

For a size-set review, buyers may check 5 sizes × 2 pieces per size = 10 garments before bulk approval. Compare the actual measurements with the approved chart and check whether the gusset remains correctly positioned when the garment is stretched to the intended body range.

Material compliance is another area where broad claims should be replaced with documents. Ask for the applicable restricted-substance requirements, the latest material reports, laboratory names, report dates, and the exact material covered by each report.

A certification or test document should be checked for scope. A report for a fabric lot produced in 2024 does not automatically prove that a different lot made in 2026 has the same result. Where third-party textile screening is used, buyers should confirm the certificate or report applies to the relevant product or material. OEKO-TEX, for example, describes STANDARD 100 as a system for testing textiles for harmful substances, with requirements covering components based on their intended use.

The same approach should be used for supplier quality control. Ask for incoming fabric inspection, shade matching, cutting checks, sewing inspection, measurement checks, final garment inspection, packing inspection, and records of defects.

A practical factory questionnaire can ask for the normal sampling plan and defect limits. For a 1,000-piece order, ask whether inspection is based on a defined sampling standard and how critical, major, and minor defects are classified. The exact acceptance numbers can then be written into the purchase specification.

Traceability is useful when goods from different lots look similar. Ask whether the factory records fabric lot numbers, accessory lots, production dates, sewing lines, inspection results, carton numbers, and shipment quantities.

A simple system can link one finished carton to a production batch. For example, a buyer could ask the supplier to retain 10 reference pieces from each major production run. Those samples can later be compared with returned goods, approved samples, and inspection records.

Customization should also be described in measurable terms. Ask which changes are available with an existing pattern and which require new development. Color, waistband, printed fabric, logo, label, gusset length, absorbency level, packaging, and size grading can each have different MOQs and lead times.

A supplier may quote an MOQ of 500 pieces but require 500 pieces per color, size program, or custom fabric. Ask for the MOQ at four levels: style, color, size, and custom material. Also ask whether packaging suppliers have separate minimum quantities.

Production capacity needs the same level of detail. Ask for monthly output, current line allocation, sewing-line count, working days per month, and typical capacity during peak periods. A manufacturer quoting 100,000 pieces per month should also state how much of that capacity is normally available for a new customer.

Lead time should be split into stages. Ask for fabric development, lab dips or print approval, material purchasing, cutting, sewing, inspection, packing, and finished-goods readiness. A “30-day production time” can refer only to sewing and may exclude material preparation.

Ask when the quoted production period begins. A clear definition might be: “lead time starts after deposit, final specification approval, packaging approval, and receipt of all required materials.” That single sentence can prevent major scheduling disputes.

For brands that also sell related reusable products, material and construction requirements can be compared across categories such as period swimwear. Buyers can ask whether the same fabric platform, membrane supplier, testing laboratory, and QC records are used across product lines, which helps keep documentation consistent.

Ownership of production should be confirmed before ordering. Ask whether the quoted company performs cutting, sewing, lamination, printing, dyeing, and packing in-house or uses external facilities. Outsourced processes should be listed in writing when they affect materials or finished-product quality.

Finally, the buyer should ask what happens when goods fail inspection or differ from the approved specification. Request a written procedure for defect review, replacement, rework, credit terms where agreed, and follow-up inspection.

Before signing a purchase order, the supplier file should contain the approved BOM, measurement chart, artwork, packaging specification, material reports, test methods, inspection criteria, approved sample references, MOQ, lead time, and commercial terms. A 100% match between the purchase specification and the approved sample should be the working target for documented product details, subject to agreed tolerances.
